Ledger Experts provides bookkeeping and consulting services to businesses in Canada. This policy explains how we collect, use, store and protect personal information, including when we use service providers outside Canada.
Information we collect
- From our website form: your name, business name, email, phone number, province, accounting software, details about your books, and any message you send.
- From clients: the accounting records we need to do the work, which can include names, addresses and payment details of your customers, suppliers and employees.
How we use it
We use website form details to respond to your request, arrange a books health check and prepare a quote. We use client records only to provide the bookkeeping and consulting services you engage us for.
Emails and consent
We contact you about your request because you asked us to. We only send bookkeeping tips and updates if you tick the box that asks for them, and every one of those emails lets you unsubscribe. You can also withdraw your consent at any time by emailing us.
Where your information is stored
We store information in our Google Workspace account and work in clients' own accounting software, such as QuickBooks Online or Xero. These providers may store data outside Canada. Access is limited to the people who need it, and every account is protected with two-step verification.
Service providers outside Canada
We use a service provider in the Philippines to help deliver our bookkeeping services. As a result, personal information in our clients' accounting records may be collected, used, disclosed or stored outside Canada, in the Philippines. We do this so our service provider can prepare bookkeeping records, reconciliations and financial reports for our clients.
Our service provider works under a written agreement that requires it to keep information confidential, use it only for our services, follow our security rules and notify us promptly of any incident. Information held outside Canada may be subject to the laws of that country.
How long we keep it
We keep website enquiries only as long as we need them to respond and follow up. We keep client working papers for 6 years, as the Canada Revenue Agency requires, and then delete them securely.
Your choices
You can ask to see or correct the personal information we hold about you, or withdraw your consent, by contacting us. Withdrawing consent may limit the services we can provide.
